Part-time Assistant Coordinator- MEP Florida

(Support Staff)

PART-TIME ASSISTANT COORDINATOR MILITARY EDUCATION PROGRAM-FLORIDA

PRIMARY FUNCTION:

Deliver a full range of academic advising and administrative services to all Florida Education Program students interested in enrolling in Vincennes University’s growing program offerings. The advising workload will include advising hundreds of students each term.

MINIMAL QUALIFCATIONS:

Bachelor’s Degree required

Proficient in Windows 7 environment, Internet applications, Microsoft Office, Publisher.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Conduct formal advising sessions with current and prospective students while advising on major course of study, degree requirements, and appropriate course delivery method.

Interpret, apply, and abide by the Federal Education Rights and Privacy Act (FERPA) and parental confidentiality issues.

Evaluate and articulate data accurately concerning students, faculty and administrators.

Apply an accurate knowledge of a wide range of University courses utilized in over 20 programs, and academic standards and requirements to benefit students and the University.

Develop degree plans for deployed and deployable military service members using critical thinking skills and working independently.

Coach, challenge, and encourage learners through disruptive life events and obstacles through discussion of options to support student success.

Maintain office filing system and ensure accountability of University assets.

Communicate effectively to students and other stakeholders about the benefits of attending Vincennes University.

University Manual, Business Office Policy, Dean of Continuing Studies and Director of the MEP.

POSITION REQUIREMENTS:

EXPERIENCE:

Prior experience in academic advising at the community college level.

Experience working with nontraditional students.

Experience in busy office environment, multitasking.

Ability to work effectively in a service environment that is subject to frequent interruptions.

Ability to maintain orderly work environment, overall excellent organizational skills.

Experience working with diverse clientele

Ability to learn and proficiently apply a variety of computer applications specific to the work environment.

Quick learner, ability to mentally organize, create solutions “on the spot” as well as long-term.

Understanding of academic degree requirements and a knowledge of requirements for degree completion.

Proficient in Windows office environment, Internet applications, Microsoft Office, Publisher, and Banner SCT system

Vincennes University Military Education Program California Sites, to include Naval Base Coronado, Naval Medical Center San Diego, Naval Base San Diego and other California locations as required. This is a full time, support staff position with benefits located in San Diego, California.

Qualifications:

Education: High School Diploma or GED.

Physical: Must be able to lift 50lbs. Must be able to traverse standard shipboard ladders found on US Navy and Coast Guard vessels.

Computer Skills: Typing skills and proficiency with Microsoft Office required. Proficiency in Banner software desired but not required.

Communications:

Must have excellent written skills and be proficient in general business administration formats. Verbal communication skills both in person and on the phone are required.

Responsibilities:

Data entry, preparing letters, answering phones and performing general office duties as assigned.

Performs various clerical and routine accounting tasks in support of site operations.

Procure and maintain required office supplies.

Track student registrations, tuition payments, for both local and distance education site enrollments.

Maintain instructional supplies inventory to include textbooks, consumables and non-consumable assets.

Provide daily executive overview reports to the site director as required.

Assist the director in marketing and promoting VU MEP in California.

Travel as necessary to the educational sites of the California.

Provide cross training to other employees of VU MEP.

Provide support for Directors and Advisors.

Maintain a highly efficient and organized office environment, to include but not limited to: providing accurate information on phone, via email, and in person to the public; maintaining confidentiality in the work environment; creating and maintaining files and systems of organization both electronically and via hard copy; basic computer maintenance for all computers in the system; billing; meeting deadlines associated with the academic calendar; accurate operation of the VU Text Loan System.

Vincennes University’s American Sign Language Program (ASL) is seeking applicants for a Secretary I position. ASL Program is located on the campus of the Indiana School for the Deaf in Indianapolis, IN. This is a full time, support staff position with full benefits.

Job Description:

• Handle all incoming and outgoing phone calls to the ASL Office; including, but not limited to students and/or parents of potential students, adjunct faculty, Interpreters, high school guidance counselors, plus offices of the Vincennes Campus (i.e. Registrar, Financial Aid, Distance Education, Admissions, and Humanities Division).

• Receive and send Fax documents for faculty, students, and administrative purposes.

• Download ASL Program on-line application forms, specifically.

• Handle the admissions process for all applicants to the program, including, but not limited to processing applications (on-line/hard copy) with the VU Registrar’s office; sending “status of application process” letters to all applicants; tracking “official transcripts” (high school/college); confirming appropriate documents in place prior to student registration; calling students to follow-up and schedule placement tests and/or registration appointments.

• Schedule new student registration appointments with the Program Chair.

• Serve as Interpreter at individual “new student” registration appointments.

• Advise and register students in the Banner system, in the absence of the Program Chair.

• Schedule and proctor Accuplacer College Placement Test for students to the ASL Program and other students to VU living in the Indianapolis area (ASL Program is a VU Test Site).

• Schedule and proctor all Math Intensive Tests for students’ graduation requirement to receive their diplomas; and, submit a reporting log of each test score to the VU Assessment Center.

• Develop, copy and mail out ASL Program “Information Packets” to all interested persons – including handouts…College Placement Test Instructions, FAFSA Information, Semester Course Offerings, Course Descriptions, Semester Course Offerings Schedules, Brochures.

• Develop, copy and mail out an ASL Program information sheet/schedule to the Indiana Deaf School Staff and/or Parents wishing to “audit” classes in subsequent semesters.

• Term-by-term, coordinate Team Interpreters for lecture courses with a Deaf Instructor involving English-speaking students (and visa verse – a Deaf student involving an English-speaking Instructor).

• Find substitute Interpreters in the event an Interpreter calls in sick, or cancels his/her assignment for various reasons (upwards of 5 hours to find a “sub” – often times to no avail).

• Receive and process all Interpreter Invoices (communicate corrections to Interpreters prior to processing) with the Division Secretary of the Humanities Division.

• Coordinate finding Team Interpreters for Vincennes Campus special events (i.e. December Commencement Ceremony; Educator’s Luncheon, University Opening Meeting, and mandatory New Faculty Orientation).

• Serve as “acting chair” in the absence of the A SL Program Chairperson – in the event of family medical leave, vacation, and out of town workshops.

• Coordinate Dormitory Housing for students choosing to live on the Indiana Deaf School Campus – including, but not limited to: Act as the liaison between VU ASL Students and the Indiana School for the Deaf (ISD)

POSITION REQUIREMENTS:

EDUCATION:

• A.A. or B.A. recommended but not required

EXPERIENCE:

• Knowledge of word processing and data base experience preferred

• General office procedure skills

• Excellent work attendance record

LANGUAGE SKILLS:

Area 31 Early College Math Tutor

Academic Tutor - Math Area 31 Early College- Indianapolis, IN

Vincennes University is seeking applicants for Academic Tutor – Math at Area 31 Early College in Indianapolis, IN. This is a part-time support staff position without benefits.

The Academic Tutor position is designed to provide one on one or small group support for early college students at Area 31. The tutor will work closely with teachers to monitor academic progress of students who are struggling with courses in our early college setting.

Initial responsibilities of the academic tutor would include:

• Provide academic tutoring in Math for students

• Customize and craft effective plans that address student weaknesses and strengths

• Assist, evaluate, develop and integrate the students in learning

• Motivate students and provide them with confidence to feel successful

• Foster meaningful relationships with students and faculty

• Develop study skills specifically tailored to the students' needs

• Teach referred students how to learn by providing students with study skills and study habits

• Demonstrate excellent writing, oral and interpersonal communication skills

• Experience in tutoring in High School Mathematics (Pre Algebra, Geometry) and College Algebra preferred.
