Academic Advisor - Distance Education

(Support Staff)

Primary Function:

To provide sound academic advice and support services for students and prospective students pursuing a college degree or other educational objectives through Vincennes University.

Responsibilities Include:

• Serve on a team of advisors advising over 1000 current students as well as prospective students regarding selection of a college, a major course of study, and an appropriate delivery method.

• Ability to articulate the requirements of over 26 degree programs and the benefits of obtaining a degree.

• Work with new students to develop an individualized plan to reach their academic goals. The plan is reviewed with the student each semester to ensure all major program requirements, general education requirements, sequencing requirements, and student readiness is met.

• Interpret, apply and abide by the Federal Education Rights and Privacy Act (FERPA) and parental confidentiality issues.

• Evaluate and articulate data accurately concerning students, faculty and administrators.

• Coach and encourage students through disruptive life events, obstacles, and challenges through discussion of options to support student success.

• Coach students to develop accountability for their educational decisions as well as an understanding of how those decisions impact their future success.

• Assist and advise students with the admissions process, including providing initial information regarding financial aid or other tuition assistance.

• Supervise advisees’ degree progress, providing provisional audits as necessary and processing their petitions to graduate.

• Assess and evaluate academic advising and advising programs to ensure continual improvement of process and quality.

• Represent the University at job fairs, education fairs, learning centers, and other university activities.

• Communicate effectively to audiences of prospective students about the benefits of attending Vincennes University.

• Promote academic, career and life goals by developing and advising students with strategies such as successful completion in an online learning environment and the appropriateness of an online choice.

• Serve as an advocate for the student and intercede with at-risk students to reduce attrition.

• Communicate regularly with students to advise them of academic program requirements, registration dates, resources, transferability issues, course substitutions, testing for credit, credit for military experience and training, and other relevant information.

• Identify opportunities to grow enrollments, attract students, gain efficiencies and improve services.

• Register students for distance courses; adding students to the student information system and course management system; advising the appropriate instructors.

• Responsible for data collection and generating reports for retention purposes and evaluating students to make sure the program objectives are met.

• Proactively build advising skills through sharing best practices, active participation in self-development, and staying current in curriculum knowledge and industry trends.

• Develop and present advisor educational workshops for faculty and staff.

• Develop, revise, and update the processes of Advising Center forms and publications.

• Maintain appropriate student files (electronic and paper).

• Assist students with access and technical issues that may arise.

• Perform other job-related duties as assigned.

Knowledge and Skills Required

• Knowledge of university degree programs, policies, procedures, resources and population.

• Ability to effectively, professionally, and tactfully interact and communicate, both orally and in writing, with students, faculty, staff and visitors.

• Knowledge of military voluntary education program requirements, SOC processes and tuition assistance.

• Knowledge of distance education courses offered by Vincennes University.

• Follow-up with students regarding employment and postsecondary education status

• Maintain knowledge of locally and regionally in-demand careers and educate students on potential employment opportunities

• Assist students in overcoming barriers to educational and career goals through partnerships with local and regional social service agencies

• Assist Instructors and students with referrals to and from WorkOne serevices

• Conduct outreach with community, business, and postsecondary partners to arrange job-shadowing/internship opportunities, guest speakers, and employment opportunities

• Promotes program purpose and mission to potential students and community, business, and postsecondary partners

• Attends staff meetings and professional development activities

Purpose of position: Reports to the Coordinator of Business & Industry Training, Central, IN. This position will be located in Indianapolis, Indiana. Reports to: Director of COPE Student Support Services

Department: COPE Student Support Services

Primary Function: Student Support Services is a federally funded TRIO program which provides academic assistance and non-cognitive strategies to qualifying college students in all aspects of the college experience, with a goal to assist with retention, graduation, and transfer to four-year degree programs.

Minimum Qualifications:

• Bachelor’s Degree required, Master’s preferred in education, math, or science

• Ability to work with underrepresented students (i.e., diverse culture, ethnic, and economical background, students with disabilities)

Experience:

• Work experience providing educational services to underrepresented populations

• Oral and written communication

• Proficient with non-cognitive and academic strategies

Responsibilities:

• Competency in tutoring subjects

• Attends tutor orientation and training

• Documents the tutoring sessions in the student’s tutoring file

• Monitors and assesses the student’s progress in classes

• Reports no-shows for tutoring to SSS Educational Coaches and Director

• Documents bi-weekly timesheets

• Maintains FERPA, HIPAA

• Work as a collaborative team member

• Reports to the SSS Director

Work Hours will vary dependent upon Professional Tutor’s schedule. The Open Tutoring Labs are available to students Monday through Friday between 8 am and 5 pm.

Academic Advisor- Military Education Program – San Diego, CA

Vincennes University is seeking applicants for Academic Advisor, Military Education Program. This is a part time, support staff position without benefits located in San Diego, CA.

PRIMARY FUNCTION:

Deliver a full range of academic advising services to all military students interested in enrolling in Vincennes University’s growing Military Education Program and or Distance Education Program offerings. The advising workload will include advising hundreds of students each term.

MINIMAL QUALIFCATIONS: Bachelor’s Degree required

Proficient in Windows XP environment, Internet applications, Microsoft Office 2000, Publisher.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Conduct formal advising sessions with current and prospective students while advising on major course of study, degree requirements, and appropriate course delivery method.

Interpret, apply, and abide by the Federal Education Rights and Privacy Act (FERPA) and parental confidentiality issues. Evaluate and articulate data accurately concerning students, faculty and administrators.

Apply an accurate knowledge of a wide range of University courses utilized in over 28 programs, and academic standards and requirements to benefit students and the University.

Develop degree plans for deployed and deployable military service members using critical thinking skills and working independently.

Coach, challenge and encourage learners through disruptive life events and obstacles through discussion of options to support student success.

Evaluate and interpret student’s military training and experience based on recommendations from the American Council on Education and apply credit to individual degree plans.

Evaluate students’ academic records to ensure all requirements for graduation have been met.

Travel as necessary to effectively advise, recruit, and retain students and/or represent the University at Education Fairs at other MEP educational sites and military bases. Recruit and retain active and inactive students through ongoing solicitation. Conduct presentations on behalf of the University to stakeholders, such as military education service officers, regional directors and other key decision makers.

Communicate effectively to audiences of service members about the benefits of attending Vincennes University.

PREFERRED EXPERIENCE: Experience working with military personnel.

Experience in busy office environment, multitasking.

Ability to work effectively in a service environment that is subject to frequent interruptions.

Ability to maintain orderly work environment, overall excellent organizational skills.

Experience working with diverse clientele

Ability to learn and proficiently apply a variety of computer applications specific to the work environment.

Quick learner, ability to mentally organize, create solutions “on the spot” as well as long-term.

Understanding of academic degree requirements and a knowledge of requirements for degree completion.

Proficient in Windows XP environment, Internet applications, Microsoft Office 2000, Publisher and Banner SCT system

PHYSICAL DEMANDS: Ability to lift 50 pounds and traverse steep ladders.
